Your presentation must always be designed carefully to speak to the specific entity you’re addressing.
Consider your audience from the entity to the people in the room. They may be mix of technical experts, supply chain management (SCM) officials, and end-users. Your presentation must be accessible to all. Avoid overly technical jargon that is specific to your organisation and industry, and clearly articulate the benefits for each stakeholder. Different audience members will have various considerations and concerns ranging from process and price, functionality or usability if applicable. Have you addressed all of these points depending on the content of your presentation?
- Start by clearly articulating your understanding of the problem or need they have. Then, present your solution as the most effective way to solve that specific problem.
- Don’t focus on pricing alone or focus on offering the most affordable solution, rather your presentation must build a strong case for the long-term value you offer.
- Back up your claims. Use case studies (especially any successful projects with other public sector entities), data, and testimonials.
- Maintain the highest ethical standards. Adhere strictly to the communication protocols outlined in the tender documents. Any attempt to lobby or influence the process outside of the formal channels is a major red flag.
- Ensure your presentation is well-structured, visually clean, and free of errors. Arrive on time, dress professionally, and have all your documentation in order. This professionalism reflects on the credibility and reliability of your business.
- Be thoroughly prepared for a rigorous question-and-answer session. The committee will probe your understanding of the requirements, your technical solution, your pricing, and your compliance. Have your experts present to answer detailed questions confidently and accurately.
